A Riyadh-based industrial maintenance company with 450 field technicians servicing HVAC, electrical, and plumbing systems across 1,200 commercial buildings in Riyadh, Jeddah, and Dammam managed field operations through: paper work orders (printed in the morning, carried by technicians, returned in the evening for data entry), WhatsApp groups (dispatchers communicated job assignments, schedule changes, and emergency calls through 12 WhatsApp groups organized by region and trade), phone calls (customers called a central number, the dispatcher logged the call on paper, and called the nearest available technician), and Excel spreadsheets (job history, technician performance, and billing were tracked in spreadsheets maintained by 4 administrative staff). The problems: (1) No real-time visibility — the operations manager had no idea where technicians were, which jobs were complete, or which were running behind schedule until paperwork returned at end of day. Emergency dispatch relied on the dispatcher's memory of which technicians were in which area. (2) Billing delay — invoices could not be generated until paper work orders were returned, data-entered, and verified. Average billing cycle: 18 days from job completion to invoice generation. With ZATCA e-invoicing requirements, the paper-based system was non-compliant. (3) Customer communication — customers had no visibility into their service request status. "When is the technician arriving?" calls consumed 30% of the dispatcher's time. (4) Knowledge loss — troubleshooting history for equipment (what was done on the last visit, what parts were replaced, what was recommended) existed only in paper files that were frequently lost or illegible.

We built a field service mobile app over 12 weeks: (1) Technician app (Arabic-first, designed for one-handed operation while carrying tools): job queue showing assigned work orders with priority, customer location (integrated with Saudi National Address for accurate navigation), and estimated travel time. On-site workflow: check-in (GPS-verified arrival — the customer is automatically notified "your technician has arrived"), digital work order completion (checkboxes for standard tasks, photo capture for before/after documentation, Arabic voice-to-text notes for technicians who find typing in gloves impractical), parts usage recording (barcode scan from inventory), and customer digital signature on completion. (2) Dispatcher dashboard (web + tablet app): real-time map showing all 450 technicians with GPS positions updated every 60 seconds, job assignment by drag-and-drop (assign the nearest available technician with the right trade certification), emergency dispatch (one-tap assignment to the closest qualified technician — no phone calls needed), and SLA tracking (time-to-respond, time-to-resolve metrics visible in real-time). (3) Customer portal (mobile web app — no download required): submit service requests with photo upload and National Address location, track request status in real-time (submitted → assigned → technician en route → work in progress → completed), rate the service after completion, and view service history for their building. (4) ZATCA e-invoicing: completed work orders automatically generate ZATCA-compliant e-invoices. The invoice is XML-generated per FATOORA specifications, digitally stamped, transmitted to ZATCA, and the PDF version is sent to the customer via WhatsApp — all within minutes of job completion. Billing cycle: 18 days → same day. (5) Offline capability: technicians working in basements, mechanical rooms, and elevator shafts (common locations for HVAC and electrical work) often have no cellular signal. The app caches assigned work orders, captures completion data offline, and syncs when connectivity returns.

Dispatch efficiency: average time from customer call to technician assignment reduced from 45 minutes (phone-based dispatch) to 4 minutes (automated nearest-technician assignment). Emergency dispatch: 8 minutes average (from 25+ minutes). Customer satisfaction: "when is the technician arriving?" calls reduced by 82% — customers track status in the portal instead. Post-service customer ratings averaged 4.6/5 (the company had no previous measurement). Billing: 18-day billing cycle → same-day ZATCA-compliant invoicing. Cash flow improved by SAR 2.1 million (receivables accelerated by 15+ days across the customer base). ZATCA compliance: 100% electronic invoicing from deployment day — the company had been manually submitting and had accumulated SAR 12,000 in late submission penalties in the 6 months before the app launched.
